Before You Use AI

Practical guidance for small businesses introducing AI.

AI tools are remarkably easy to start using. Open an account, enter a prompt and within minutes you can generate a proposal, summarise a document or respond to a customer.

Introducing AI into a business properly takes more thought.

What information will it have access to? Who checks its work? What happens when it produces the wrong answer? Do staff know what they may safely enter? Should customers be told when AI is involved? Who remains responsible for the outcome?

These aren't arguments against using AI. They're the questions that make the difference between a useful business system and an uncontrolled experiment. This series is for owners and managers who want to understand that difference.

It covers the preparation that should happen before AI is introduced, the privacy and security issues that are easily overlooked, the need for human oversight and the practical policies that help staff use these tools appropriately.

The series draws on our work designing business processes and automations, Matt's experience building, operating, acquiring and selling businesses, and his work towards the Microsoft Certified: AI Transformation Leader certification. Microsoft describes the certification as covering the evaluation of AI opportunities, planning for adoption, aligning investment with business goals and championing responsible AI practices. Those leadership questions are just as relevant to a five-person business as they are to a large organisation. Read about the certification.

We're not interested in adding AI to a business simply so it can say it uses AI. We're interested in whether it solves the right problem, handles information appropriately and produces a result the business can rely on.
